This Privacy Policy explains how EzScribe (“EzScribe”, “we”, “our”, or “us”) collects, uses, discloses, and protects your personal information when you use our website, applications, browser extensions, and related services.
1.Information We Collect
- a. Account information
- When you sign up, we collect your email address and name (optional) to create and manage your account.
- b. User content
- You may provide audio, video, text content, directly accessible media URLs, or supported platform links for transcription and translation. We process this content solely to provide the requested service.
- c. Usage data
- We automatically collect non-personally identifying information such as browser type, referring site, and timestamps to improve our service.
- d. Payment information
- Payments are collected on our behalf by a third-party payment processor. We do not store your full payment card details on our servers.
e. Google user data (OAuth)
When you choose to sign in with Google, we request and access the following information from your Google account:
- Email address – to create and identify your account, and to communicate with you about the service.
- Profile information (name, avatar) – to personalize your experience within the app.
We request only the minimum data necessary to provide and improve our service. We do not:
- Use your Google user data for any advertising, marketing, or profiling purposes.
- Sell, rent, or share your Google user data with any third party except as necessary to provide the service (e.g., storing your email securely to maintain your account).
- Transfer your Google user data to any third party for their own use.
Your use of Google sign-in is also subject to Google’s own Privacy Policy.
2.How We Use Your Information
- To provide, maintain, and improve our transcription services.
- To communicate with you about your account, updates, or support requests.
- To detect and prevent fraud or abuse of our service.
3.Data Retention
We retain your personal information and generated transcripts only for as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by law.
- Transcripts
- You can delete any generated transcript at any time directly from your dashboard.
- Account deletion
- If you wish to delete your entire account, please contact us at support@ezscribe.org. We remove your associated data from our production systems within 30 days of the request.
Unless you delete it sooner, we hold each category of data for the following periods:

| Audio and video files you upload | Deleted from our storage as soon as the transcript has been produced, normally within minutes of the upload finishing. Only the transcript is kept. Files belonging to a job that failed are removed when you delete that job or your account. |
| Payment and billing records | As long as required by applicable tax and accounting law, typically up to 7 years. |
| Server and security logs | Up to 12 months. |
| Encrypted backups | Up to 90 days, after which the backup is overwritten in the normal rotation. |
4.How We Handle Video Links and Transcripts
When you submit a supported platform link, a directly accessible media URL, or upload a file, we process it to generate a transcript or translation. This result may be stored in your history so you can view it later, unless you delete it from your account.
5.Data Sharing
We do not sell or rent your personal information. We may share data only:
- With service providers (e.g., hosting, payment processing) under strict confidentiality.
- When required by law, court order, or to protect our rights.
7.Your Privacy Rights
Depending on where you live, you may have some or all of the rights below. We honour these requests regardless of your location, and we do not charge for them or treat you differently for exercising them.
- Access – ask for a copy of the personal information we hold about you.
- Correction – ask us to correct information that is inaccurate or incomplete.
- Deletion – ask us to delete your account and associated data, as described in Data Retention above.
- Portability – ask for your transcripts and account data in a machine-readable format.
- Restriction and objection – ask us to limit how we process your information, or object to a particular processing activity.
- Withdraw consent – where processing is based on consent, withdraw it at any time without affecting processing already carried out.
To exercise any of these rights, email support@ezscribe.org from the address registered on your account. We respond within 30 days. We may ask for information to verify your identity before acting on a request.
California residents
You have the right to know what personal information we collect and how it is used, to request deletion, and to opt out of the “sale” or “sharing” of personal information. We do not sell or share your personal information, so there is nothing to opt out of.
EEA, UK, and Switzerland
Our legal bases for processing are the performance of our contract with you (providing the service), your consent (where we ask for it), and our legitimate interests in securing and improving the service. You also have the right to lodge a complaint with your local data protection supervisory authority.
8.Security and Breach Notification
We use technical and organisational measures appropriate to the risk, including encryption in transit, encrypted storage of credentials, access controls limiting who can reach production data, and encrypted backups. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9.Children’s Privacy
Our service is not intended for children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact support@ezscribe.org and we will delete the account and its data.
10.International Users
EzScribe is operated using hosting and processing infrastructure in the United States and in other countries where we or our service providers operate. If you use the service from outside those countries, your information may be transferred to, stored in, and processed in them, under laws that may differ from those in your own country. By using the service, you consent to this transfer.
11.Changes to This Policy
We may update this policy from time to time. When we make a significant change we will update the “last updated” date at the top of this page and post a notice on the site. Please review the current version before continuing to use the service — continued use after a change takes effect constitutes acceptance.
